Agree who is handling each meal
For a gathering across several days, a menu alone leaves questions. Write which meal it belongs to, where people will eat and who has agreed to coordinate it. Keep uncertain details as questions until the people involved confirm them. The order here is the order you enter; meals are not sorted or assigned automatically.
The Reunions magazine food-committee guide discusses planning menus and meal responsibilities for a reunion that lasts several days. The Reunly meal-plan template puts the meal plan alongside headcounts and coordination notes. Use those planning ideas to write your own arrangements; this worksheet does not choose a menu or calculate food quantities.
A fictional example
Meal: Saturday lunch after the family walk. Menu: soup and sandwiches, to agree with the cooks. People: about eighteen, to confirm from the replies. Place: the picnic shelter. Coordinating: Rosa and Jo, after checking with them. To check: who will bring serving spoons and help clear the tables. These people and arrangements are invented.
For contributions to one shared meal, use the separate potluck sign-up sheet. A household can record its own reply in the RSVP worksheet. No answers or headcounts transfer between these tools.
Before sharing the meal plan
Can I print a blank meal planner?
Yes. A blank copy has six numbered write-in boxes for meals and their arrangements. Adding only the plan title, reunion dates or plan coordinator keeps the blank layout. Use Review my plan and Print or save PDF, or print from the browser while editing. Check Letter or A4 in the preview.
What is included in the filled copy?
Meals with any written field keep their original numbers. Untouched meals are skipped. Unused write-in boxes from numbers 1–6 remain for handwritten additions, and Review shows them too. Text downloads include only written meals; the empty download supplies one place with field labels. More meals or longer wording may need more pages. Short meals stay together in print; wording longer than a page can flow without being cut off. Check the preview and select the pages you need.
Does it calculate portions or check food requests?
No. The headcount is your own text, and no portions, totals, nutrition or ingredient checks are calculated. Record requests as questions and confirm them directly with the people eating and preparing the meal. This worksheet does not decide whether a dish suits anyone’s needs.
Can it collect replies or assign helpers?
No. It is a manual plan for up to one hundred meals, not an online sign-up service. It does not send invitations, contact relatives, assign work, import other worksheets or share a live plan. Agree responsibilities before putting someone’s name on a shared copy. Lower Next and Add buttons return you to the new meal’s heading.
Where is my plan saved, and can I undo clearing a meal?
The plan stays only in this page’s memory. Refreshing or closing clears it; download text or print before leaving. Saved TXT and PDF files cannot be reopened here for editing. Clear this meal asks first. Undo restores all six fields until you change that same meal or close the page. Editing another meal or the plan title keeps Undo available; clearing another meal replaces it.
Keep a memory from the family table
Save your plan first. MemoirWell’s separate guided interview can help turn your own memory of a family meal into an AI-assisted draft chapter to check and edit. It does not import this meal plan.
