Family reunion budget planner you can fill in and print.

Keep each proposed cost beside its estimate, the amount you know and a quote or receipt reference. Compare the amounts you have entered, while leaving unknown costs visible.

Up to 20 costs · USD amounts and entered totals · Text download · Blank or filled printing · No account

Getting the worksheet ready…

Your entries stay in this page’s memory. They are not uploaded or autosaved: refreshing or closing clears them. Download text or print before leaving. Quotes, receipt references and planning notes are included in the saved copy.

Keep each cost with the amount you know

Add up to twenty costs and compare estimated and actual amounts in US dollars. Leave unknown amounts blank. Every field is optional; this worksheet does not collect or make payments.

Amounts entered

These totals include recognized amounts only. Blank amounts are unknown, and unrecognized amounts are left out.

Estimated amounts (USD)
—No costs entered.
Actual amounts (USD)
—No costs entered.

Cost entry 1

Give this cost a name you will recognize, such as room hire or photo copies.

Optional. Use 0 to 999,999.99 with up to two decimal places, such as 125.50 or 1,250.00. Leave out the currency symbol.

Enter the amount you know. Leave an unknown amount blank; zero means a known cost of zero. Use the same number format as the estimate.

Note who will check the quote or keep the receipt. This does not contact them or assign a payment.

Keep a reference and any open question, including whether tax or a deposit is already in the amount.

Keep your own wording about this cost, an alternative or something the group still needs to decide.

An estimate and an actual amount answer different questions

Give each cost its own entry. Put a quote or your working estimate in Estimated cost, and a known amount in Actual cost. Leave an unknown amount blank. Write zero only when you know the cost was zero. The worksheet adds recognized amounts in US dollars and shows how many entries are included in each total.

The Visit Houston reunion budget form has Estimate and Actual columns for income and expenses before, during and after a reunion. Printable Planners’ family reunion budget page offers a printable list of items with space for a budget. This worksheet has original prompts, layout and fictional examples; no publisher’s form or sample amounts are reproduced.

Keep the basis of a number beside it

Use the reference field for a quote date, receipt label or question still to ask. Note whether a deposit is already part of a quoted total, and whether tax or another charge is included. The worksheet does not add a deposit, calculate tax, choose a price or check a receipt for you. Enter each cost once on the basis you have decided to use.

A fictional example

Maple cousins afternoon. Room hire: estimated 125.50; actual amount left blank while Jo checks the quote. Photo copies: estimated 14.00; actual 0 because a relative provided them. Estimated amounts entered total $139.50. Actual amounts entered total $0.00, with only one of the two amounts included. These people, amounts and arrangements are invented.

Before you save the budget

Is this a free printable family reunion budget worksheet?

Yes. A blank copy has ten handwriting rows, space for totals and notes. A filled copy keeps costs with anything entered, including a quote-only entry or a known zero amount, and skips untouched entries. Each filled cost keeps its original number and starts on a new page. Long notes can continue onto another page.

Do the totals include blank or unrecognized amounts?

No. A blank amount stays unknown. An unrecognized amount is kept as you typed it, marked as excluded and left out of the total. The count beside each total shows how many entered costs have a recognized amount. For example, 0.10 and 0.20 add to $0.30. Amounts use up to two decimal places, from zero through 999,999.99 per cost, in USD.

Can this collect contributions or pay for the reunion?

No. This is a manual cost worksheet. It does not collect money, calculate what each person owes, contact anyone or book anything. A person’s name is your note about who is checking a cost. Use the separate guest list or planning checklist for responses and other arrangements.

Are my amounts or notes saved or uploaded?

They stay only in this page’s memory, without upload or autosave. Refreshing or closing clears them. Download text or print before leaving. Saved TXT and PDF copies cannot be reopened here as an editable budget. Your saved copy includes the amounts as entered, references, planning notes and the totals of recognized amounts.

How do I print or save a PDF?

Choose Review my sheet, then Print or save PDF, or use the browser’s print command while editing. Choose Letter or A4 and check the preview. The printed copy shows the same entered amounts and partial-total counts as the review.
