Getting the worksheet ready…

Your checklist stays in this page’s memory. It is not uploaded or autosaved: refreshing or closing clears it. Download text or print before leaving. “Ready” is your planning note, not a booking or confirmation.

Make a plan your family can use

Use twelve optional topics for one gathering, large or small. Skip what does not fit, and keep unanswered questions beside the next step.

Purpose and a workable size

What would make this gathering worthwhile, and how many people could comfortably take part?

An arrangement to check, a reference or a question still waiting for an answer. Leave out private contact and payment details.

Planning notes or next steps

Plan a gathering that fits your family

Start with the purpose, a possible date and a workable place or meeting link. Choose one topic at a time. Keep agreed arrangements in Plan notes, unanswered questions in Details to confirm, and one practical action in Next step and who. A small lunch and a larger weekend will need different plans; you can mark a topic Not needed.

The Family Tree Magazine reunion checklist organizes tasks before, during and after a gathering. FamilySearch’s family-history reunion ideas include photos and storytelling among possible activities. The twelve topics here are MemoirWell’s original, optional worksheet; they do not reproduce either source’s checklist or set a required timetable.

Keep decisions separate from confirmations

The statuses describe your notes. “Ready” does not reserve a venue, book travel, confirm someone’s attendance or collect money. Write down what was agreed and what you still need to ask. Make room for comfortable seating, quieter conversation and other arrangements participants request. Ask before recording or sharing anyone’s stories or photos.

A fictional example

Family or group: Maple cousins. Topic: Stories, photos and permissions. Status: In progress. Plan notes: Jo and Rosa suggested a short, optional porch-story conversation after lunch. Details to confirm: Ask who would like to take part and whether any photos may be shared; the rain backup is undecided. Next step and who: Jo will ask the group and bring the choices back to the plan.

Before you save the checklist

Is this a free printable family reunion planning checklist?

Yes. With no topic changes, printing gives all twelve topics with boxes for In progress, Ready, Needs a decision and Not needed, plus writing lines. Filled printing and TXT include topics with a selected status or notes and skip untouched topics. A topic containing only Details to confirm is included too.

How is this different from the reunion memory book?

This checklist helps you prepare the gathering. The separate family reunion memory book collects people’s contributions and memories into a printable keepsake. Neither tool sends invitations, makes bookings or shares material automatically.

Are my plans saved or sent to anyone?

They stay only in this page’s memory, without upload or autosave. Refreshing or closing clears them. Download text or print before leaving; TXT and PDF copies cannot be reopened as an editable checklist here. Leave out private contact and payment details, and include only information you want in the saved copy.

Can I print before every decision is made?

Yes. Choose Review my checklist, then Print or save PDF. Browser-menu printing also works from the editor. Choose Letter or A4 and check the preview. The overview and field labels keep original topic numbers; long notes can continue onto later pages. This is a flexible planning aid, not an event service.

Keep one story after the gathering

Save your plan first. MemoirWell’s separate guided interview can help you turn your own memory into an AI-assisted draft chapter to check and edit. Your planning notes are not transferred automatically.
